Brief:
Story Events were entrusted with delivering a four-day leadership summit for 150 Mars Associates, collaborating with Mars from concept creation to full execution and everything in-between. Our full scope included handling venue find, accommodation and delegate management, catering, staging production and branding, content creation and entertainment management. We proposed the prestigious Royal Lancaster Hotel in London as the ideal location, a venue that matched the high-profile nature of the summit.

 

Delivery:
Story Events managed all guest accommodations, ensuring a seamless process for the 150 Associates staying onsite. Using the Guidebook App, we coordinated every detail from arrivals and check-ins to personalised guest requests, delivering a smooth experience right from the start.

The venue was carefully chosen and negotiated by Story to create a space conducive to impactful, immersive experiences. A highlight was the 17m x 2.5m dynamic LED backdrop, which transformed throughout the summit to reflect each session’s content. We also incorporated sustainable, recyclable branding and product displays, creating a cohesive look across all event spaces that aligned perfectly with the summit’s core messages.

On Monday evening, we kicked off with a welcome reception, setting the tone for a high-energy, content-driven few days. Tuesday marked the official start of the conference, with Story overseeing every aspect—from scheduling and speaker support to filming and content production. Interactive technology enhanced the sessions, while our meticulous logistics ensured everything ran smoothly, offering delegates an immersive learning and networking environment.

That evening, the Westbourne Suite was transformed by Story into an awards ceremony venue, celebrating Mars Associates’ exceptional achievements. A dynamic evening of recognition, followed by a DJ-led after-party, created an unforgettable experience for guests.

Throughout the summit, Story orchestrated a series of breakout and plenary sessions, with breakouts being designed creatively to maximise interactive learning. Dame Kelly Holmes closed the summit with an inspiring keynote, motivating Associates with her insights on leadership, diversity, and purpose-driven success.

On Wednesday evening we curated exclusive team dinners at top London restaurants, enabling intimate networking opportunities. On the final day, Story managed smaller functional meetings, ensuring each space was equipped with AV and that the schedule was communicated effortlessly through the Guidebook App.

 

Outcome:
The Mars Leadership Summit was a resounding success. Delegates left with valuable insights, strengthened relationships, and memorable experiences. The event was praised for its energy, the strategic choice of venue, and the perfect blend of professional development and social engagement.
